Locations and registers

Each location holds its own address, logo, tax defaults, payment processor, Twilio and PrintNode setup, and per-location stock, cost, and price. Registers belong to locations — create one per checkout lane with options like tips. Switch stores from the header and restore deleted locations any time.

Whether you run one shop or a small chain, PHP Point Of Sale organizes everything around locations. The Locations module in the left menu is where each store's identity, taxes, hardware, and payment setup live, and registers — the tills your staff actually sell from — belong to those locations. Getting this structure right early makes everything downstream, from inventory to reports, fall into place.

How locations shape the rest of the app

With a single location, all items, inventory and sales are tied to it automatically and you rarely think about it. The moment you add a second location, most other features become location-aware: every item carries its own stock level, cost and price per location, taxes can differ per store, deliveries and transfers need a location, and employees only see the locations they are assigned to. Reports can be run for one location or rolled up across all of them.

Plans bill per location, so adding a store adds to your subscription. If you hit your plan's location cap, the app tells you the maximum has been reached and to upgrade your subscription before another location can be added.

Add a location

  1. Go to Locations in the left menu.
  2. Click + New Location in the top right.
  3. Fill out the Location Information tab — fields marked in red (Address, Phone, Timezone) are required.
  4. Assign at least one employee — an employee must be assigned to a location to sign into it, and a location cannot be saved without one.
  5. Click Save.

The location form is split into tabs: Location Information, Registers & Terminals, Integrations, Taxes & Fees, and (when PrintNode is enabled) PrintNode.

Location Information settings

  • Name — how the location appears everywhere in the app; make it memorable.
  • Color — pick a color shown in the top-left of the screen behind the logo, so staff can see at a glance which location they are signed into.
  • Company — the company name for this location, printed on its documents.
  • Tax ID — the tax identifier shown for this location.
  • Company Logo — upload an image (Choose File) to print on this location's receipts; it is resized to fit 255 × 90 pixels. Tick Delete Logo and save to remove a wrong upload.
  • Website, Address (required), Phone (required), Fax.
  • Email — where this location's notifications go. CC Email and BCC Email add copies of every notification the location sends.
  • E-Mail all sales to E-Mail — an address that receives an email for every completed sale.
  • E-Mail all receivings to E-Mail — the same for receivings.
  • Return Policy — free text that can be printed on receipts; see customizing receipts.
  • Employees — type a name and pick from the dropdown; select as many as you need. An employee can belong to several locations, and can only sign into locations they are assigned to.
  • Auto E-Mail Reports Address, Auto E-Mail Reports Time, and Day to email report for (Current Day or Previous Day) — the automatic daily closeout report email; see emailed reports and statements.
  • Receive stock alerts — enables low-inventory emails and reveals two more fields: Stock Alert Email (where alerts go) and Alert only for items with re-order level (only alert when an item with a reorder level hits it, instead of every item reaching zero). Alerts fire only when a sale lowers inventory — a manual quantity edit to zero does not send one.
  • Timezone (required) — sets the time stamped on this location's receipts and reports.
  • Currency Default Exchange Rate — appears only when exchange rates exist in Store Config; pre-selects a payment currency for sales rung at this location. See multiple currency and exchange rates.
  • Invoice payment email overrides — per-location versions of the store-wide invoice payment notification settings (send to store, store address, CC, BCC, send to customer).
  • Additional Appointment Note — extra text added to this location's appointment messages, with basic formatting and replaceable keywords.
  • Disable Markup/Markdown — ignore the store-wide payment-type markups/markdowns at this location.
  • Do NOT allow items to be sold below cost price — blocks selling under cost at this location.
  • Do not allow out of stock items to be sold — blocks selling items with no stock at this location.
  • Do not allow items to be out of stock when transferring — blocks transfers that would drive stock negative; see transfers between locations.

Registers & Terminals: create your registers

A register represents one checkout lane or device. Inside each location, create a register for every lane, counter, or device that rings sales — one per till keeps cash accountability clean.

  1. Go to Locations, click Edit on the location, and open the Registers & Terminals tab.
  2. Click Add Register and enter a Register Name staff will recognize at the sales screen.
  3. If the register takes integrated card payments, fill in the columns your processor uses: Terminal ID, CardConnect HSN, EMV Device Override / Non EMV Device Override, IP Tran Device ID, Pin Pad IP, Pin Pad Port, and Card Reader Actions. Square and Stripe terminals pair from buttons in this table instead. See setting up credit card processing.
  4. Tick Enable Tips on each register that should prompt for tips — a front counter can prompt while the back-office register does not. See payment types, tips and split payments.
  5. Click Save. For IP Tran devices, Update Params pushes changed parameters to the terminal.

To delete a register, click Delete at the right of its row and save. Below the table, Register to use for manual entry & payment links picks which register records payments taken outside the sales screen, such as emailed payment links.

Taxes & Fees tab

Taxes are defined store-wide in Store Config, and each location can override them: pick an existing tax group or enter custom default rates for this location, set a Tax Cap Amount, and choose a tax group to apply above a threshold with Use Tax Group When Item Above. Sales rung at the location then use its override instead of the store-wide default. Full detail in setting up taxes.

PrintNode tab

When PrintNode is enabled for your account, this tab assigns hardware per location: choose the PrintNode key for the location, then per computer select the Receipt Printer (with Receipt Printer Width in millimeters, e.g. 58 or 80), Label Printer, and Scale, set Print Copies, and use Test Print to confirm. Switch between locations

When your account is assigned to more than one location, the top header shows the current location's name with its color badge. Click it to open a searchable dropdown and pick another store — everything you see, from stock levels to the sales screen, follows the location you select. No sign-out needed.

Edit, delete, and restore locations

Edit: go to Locations, click Edit on the row, change any field described above, and Save.

Delete:

  1. Go to Locations and tick the checkbox on the location's row (multiple rows can be ticked, though deleting several at once is rarely a good idea).
  2. Click Delete above the list and confirm the popup.

Restore a deleted location:

  1. On the Locations page, click the ellipsis (...) menu at the top and choose Manage Deleted Locations.
  2. Tick the checkbox next to the location and click Undelete.
  3. Click Done to return to the normal list.

Deleting a location hides it and its configuration; it does not free up the data for reuse elsewhere. Restore it any time from the deleted list.

Permissions

Access is controlled per action in permissions and templates: the Locations module permission controls seeing the module at all, and the Add/Update, Delete, and Search action permissions control creating/editing, deleting, and searching locations. Employee-to-location assignment itself is on each location's form (and on the employee record — see employee accounts).

Common questions

Why can't my employee sign in at the new store? They are not assigned to it. Edit the location and add them to Employees (or edit their employee record) — an employee can only sign into assigned locations, and an account assigned to no locations cannot sign in at all.

Can the same item have different prices at different locations? Yes. Every item carries its own stock level, cost and price per location — see creating items.

How do I add another location to my plan? Just create it under Locations → + New Location; plans bill per location. If your plan has a location cap you'll see a message that the maximum has been reached and to upgrade your subscription.

I deleted a location by mistake — is the data gone? No. Open the ... menu on the Locations page, choose Manage Deleted Locations, tick the location and click Undelete.

Which register handles payments from emailed payment links? The one selected under Register to use for manual entry & payment links on the location's Registers & Terminals tab.

Do registers share settings across locations? No. Registers belong to one location; each location has its own set, its own terminals, and its own tips settings per register.
