Customizing receipts

Open Store Config → Receipt to control everything a receipt shows — titles, line items, customer and employee details, taxes, balances, signatures, and footer text. This guide lists every setting with its default, and covers printed, emailed, SMS, and PDF receipts.

Receipts can go to a customer three ways: printed on a receipt printer, printed on a regular full-width printer, or sent by email (and optionally SMS). Every setting that decides what a receipt says — and how it looks — lives in one place: Store Config → Receipt. The defaults produce a perfectly usable receipt, so treat this page as a menu of refinements: turn on what your customers ask about, turn off what wastes paper.

To reach the settings, open Store Config in the left menu, then click Receipt in the section list on the left — or type "receipt" into the search box at the top of Store Config to filter every matching setting. Unless noted otherwise below, every checkbox is unchecked (off) by default. Change any setting, click Save, then ring a test sale and look at the paper — the fastest way to tune a receipt is to hold it. You can ring that test sale without touching your records using test mode.

Access to Store Config is gated by the Store Config module permission on the employee's account — see permissions and templates.

Where the store information on a receipt comes from

Two other screens feed the header of every receipt:

  • Store Config → Company Information supplies the Company Logo, Company Name, Website, and Tax ID. The logo prints at the top of the receipt (and also shows on your sign-in screen).
  • Locations supplies the location's Name, Address, and Phone Number for the location where the sale was rung — and, optionally, the location's Email (see below). Each location can also carry its own Tax ID, which overrides the company-wide one on receipts from that location. See locations and registers.

If you do not want the location name printed, check Hide Location Name On Receipt. To also print an email line in the header, under the address and phone, check Show E-Mail Of company on receipt (as labeled in the app) — despite the "company" in the label, the address printed is the location's Email from the location record.

Titles and labels

  • Override receipt title — replaces the default "Sales Receipt" heading with your own text, for example "Bill of Sale" or "Invoice". Empty by default (the standard title prints).
  • Email Receipt Subject — the subject line used when a receipt is emailed; when empty, the default "Sales Receipt" subject is used.
  • Fee label — renames the markup/markdown fee line, when you charge one.
  • Override Employee Label On Receipt — replaces the label in front of the employee name.
  • Override Fulfillment Sheet Title — retitles the fulfillment sheet (the pick/pack document described in receipts, gift receipts and fulfillment sheets).
  • Override Signature Text — replaces the text printed next to the signature line.

Line items: what each row shows

  • Show item id on receipt — adds an ID column for each line. Which ID prints follows the same choice as the sales screen (UPC/EAN/ISBN, Product ID, or Item ID).
  • Show Images on Receipt — prints each item's image on its line; Max Width Of Item Images On Receipt (Percentage) caps how wide those images print.
  • Hide Description on Receipt — drops the item description from printed receipts. Related toggles: Hide Description on E-Mailed Receipts (email only) and Hide Item Description On Suspended Sales.
  • Hide description on sales and receivings interfaces — the odd one out: although it sits on the Receipt tab, it changes the screens rather than the paper, removing the Description field from the expanded line-item panel on both the register and the receiving screen.
  • Show Weight and dimensions on receipt / Remove Weight from Receipt — control whether item weight and dimensions print.
  • Show out of stock on receipt — flags lines where the item was out of stock at sale time.
  • Show Line Item Sales Person On Receipt — prints the sales person attached to each line, useful with commissions.
  • Show Item Kit Items On Receipt — expands item kits so the component items print, not just the kit line. See item kits and modifiers.
  • Show original price on receipt if marked down — prints the pre-discount price next to the discounted one.
  • Hide Price Rule Name On Receipt — suppresses the name of the price rule that produced a discount.
  • Number of Decimals for Quantity On Receipt — how many decimal places quantities print with; useful for weighed items sold through scale barcodes.
  • Sort Receipt Column — sorts the line items on the printed receipt by Item Name, UPC/EAN/ISBN, or Product ID; the default None keeps the order they were rung in.
  • Allow Reorder On Sales Receipt — lets you drag receipt lines into a custom order before printing. Allow Reorder on Receiving Receipt does the same for receivings.

Customer and employee details

  • Remove Customer Name From Receipt — hides the customer's name.
  • Remove customer company name from receipt — hides the customer's company.
  • Remove customer contact info from receipt — hides the customer's address details.
  • Hide E-Mail On Receipt — hides the customer's email address. (Its header counterpart, Show E-Mail Of company on receipt, prints the location's email — see above.)
  • Remove Employee Name From Receipt — hides the employee entirely; Remove Employee Last Name From Receipt keeps the first name only.
  • Show Person ID on receipt — prints the customer's account/person ID.

Custom fields you have marked Show on Receipt also print here — see custom fields.

Taxes, totals, and balances

  • Show tax per item on receipt — prints the tax amount on each line rather than only in the totals.
  • Show Taxable and Non Taxable Summary On Receipt — adds a summary of taxable vs non-taxable amounts; Override Symbol for Taxable Summary On Receipt and Override Symbol for Non Taxable Summary On Receipt change the markers used.
  • Indicate Taxable On Receipt / Indicate Non Taxable On Receipt — mark individual lines as taxable or non-taxable; Override Symbol for Non Taxable changes the marker character.
  • Show Tax Details On Receipt — itemizes each tax rate by name.
  • Group all taxes on receipt — the opposite: collapses all rates into a single tax line for the sale.
  • Show Total Discount On Receipt — prints the total amount discounted across the sale.
  • Show Exchanged Totals On Receipt — shows exchange amounts on receipts for exchanges and trade-ins.
  • Show Total At Top On Receipt — repeats the sale total at the top of the receipt where it is easiest to spot.
  • Hide store account balance on receipt — hides the customer's store account balance, which otherwise prints when store accounts are enabled.
  • Round to nearest .05 on receipt — rounds cash sales to the nearest five cents, for currencies without a one-cent coin.

Loyalty has its own receipt toggles in Store Config → Customer Loyalty: Hide Points On Receipt and Hide sales to discount on receipt — see loyalty programs. Price tier names on receipts are controlled from Store Config → Price Tiers (Override Tier Name on Receipt, Hide Tier On Receipt) — see price tiers and customer pricing.

Signatures

  • Capture signature for all sales (in Store Config → Sales) — requires a signature on every sale.
  • Hide Signature — removes the signature capture area from the receipt.
  • Auto Capture Signature — opens signature capture automatically.
  • Show signature on receiving receipt — adds a signature line to receiving receipts.
  • Disable Signature Capture for PHP POS Credit Card Processing — skips signature prompts on the integrated payment terminal.

Printing behavior

  • Print receipt after sale — opens the print dialog automatically as soon as a sale completes.
  • Print receipt after receiving — the same for receivings.
  • Automatically print duplicate receipt for credit card transactions — prints a second copy (merchant copy) whenever a credit card payment is on the sale.
  • Always print duplicate receipt for all transactions — prints a second copy for every sale.
  • Redirect to sale or receiving screen after printing receipt — returns straight to the register after printing, saving a click.
  • Wide Printer Receipt Format — a full-width layout, with item name and the other columns on one line, for standard printers rather than narrow thermal stock.
  • Receipt text sizeSmall (default), Medium, Large, or Extra large.
  • Uppercase Receipt Text — prints the whole receipt in capitals.
  • Hide barcode on receipts — removes the scannable sale barcode. The barcode prints by default and is what lets you pull a sale back up by scanning the receipt.
  • Hide Merchant ID from receipt — hides the card-processing merchant ID.
  • Receipt Download Filename Prefix — the filename prefix used when a receipt is saved as a file.

A QR code can print alongside or instead of the barcode: in Store Config → Sales, enable Show QR code on sale receipt and pick a QR Code FormatLink To Receipt, Sale Summary Info, or Saudi Arabia Digital Receipt (ZATCA). Disable verification for QR codes lets customers open the linked receipt without confirming a phone number or email.

For the hardware side — thermal printers, cash drawers, and cloud printing — see receipt printers, cash drawers and PrintNode.

Emailed, SMS, and PDF receipts

  • Automatically Email receipt — whenever a sale has a customer attached, the receipt is emailed without asking.
  • E-Mail Receipt When Suspending Sale — also emails when a sale is suspended.
  • Automatically SMS receipt — texts the receipt to the customer's mobile number instead of, or alongside, paper.
  • Enable PDF receipts — attaches the receipt to the email as a PDF; PDF receipt message in email body sets the message that accompanies it.
  • Hide Description on E-Mailed Receipts — tidies the emailed version without changing the printed one.

The account that actually sends the email is configured under Store Config → Email Settings — see email, SMS and notifications.

  • Return Policy — required text that prints at the bottom of every customer receipt. Set it before opening day; the placeholder text is not something you want customers reading.
  • Announcements/Specials — extra free-form text under the return policy: a thank-you line, social handles, or this week's promotion.
  • Automatically Show Comments on Receipt — prints the sale's comments on the receipt by default (otherwise comments stay internal unless toggled per sale).

Second language

Second Language on Receipts prints key receipt labels in a second language alongside the store language — useful for bilingual storefronts. Pick the language from the dropdown; None (the default) prints single-language receipts.

Fulfillment sheets and receiving receipts

The fulfillment sheet (pick list) has its own toggles here: Show Item Tags On Fulfillment Sheet, Show Total On Fulfillment Sheet, Hide Prices on Fill sheet, and Override Fulfillment Sheet Title. What prints when during a sale is covered in receipts, gift receipts and fulfillment sheets.

Receiving receipts follow their own subset: Show item id on receiving, Hide ALL prices on receiving, Print receipt after receiving, Show signature on receiving receipt, and — under Store Config → Payment TypesShow Selling Price On Receiving Receipt. See receiving stock.

Beyond the toggles

If checkboxes do not get you the exact layout you want, PHP Point Of Sale also offers a drag-and-drop receipt builder — see the receipt designer overview for what it can do.

Common questions

Why is my logo not printing on receipts? Upload it under Store Config → Company Information → Company Logo and click Save. If it still does not print, your printer template may be too narrow for the image — try a test print from the browser print dialog.

How do I change the "Sales Receipt" title at the top? Set Override receipt title in Store Config → Receipt to any text you want, for example "Bill of Sale".

How do I stop the customer's address showing on receipts? Check Remove customer contact info from receipt. To also hide their name or company, check Remove Customer Name From Receipt and Remove customer company name from receipt.

Can I email every customer their receipt automatically? Yes — check Automatically Email receipt. It applies whenever a customer with an email address is attached to the sale. Add Enable PDF receipts if you want the receipt attached as a PDF.

Why does a barcode print at the bottom of my receipts? It encodes the sale ID so you can scan a receipt to pull the sale back up for a return or reprint. Hide it with Hide barcode on receipts if you never use that workflow.

How do I print a second copy for card payments? Check Automatically print duplicate receipt for credit card transactions — or Always print duplicate receipt for all transactions for every sale.

Where do I change the address that prints on the receipt? That comes from the location record, not Store Config: edit the location's name, address, and phone under Locations.

Can receipts print in two languages? Yes — set Second Language on Receipts and receipts will carry labels in both the store language and the second language.
