Multiple currency and exchange rates

Configure the default currency under Store Config → Currency, add an exchange rate row for every currency you accept, then choose the payment currency from the Exchange To dropdown when finishing a sale. Each location can preset its own currency, and receipts can print converted totals.

Stores that price in one currency but sometimes take payment in another need exchange rates the register can trust. PHP Point Of Sale keeps the default currency and those rates in Store Config → Currency, offers a currency choice on the payment panel when you finish a sale, and can print converted totals on receipts.

Set the default currency

Open Store Config in the left menu and go to the Currency section (use the settings search box for "currency" if you prefer not to scroll). The settings here shape how money looks everywhere in the app:

  • Currency Symbol — what appears on prices, receipts, and the sales screen (for example $).
  • Currency Code — a label for the default currency, such as USD. It also names your default currency in the payment-currency dropdown.
  • Currency Symbol Locationbefore Number (default) or after Number.
  • Number of DecimalsLet system decide (recommended) by default, or a fixed 0–5.
  • Thousands Separator — default ,.
  • Decimal Point — default ..
  • Currency Denominations — the bill and coin values used when counting a drawer. The default set is 100's, 50's, 20's, 10's, 5's, 2's, 1's, Half Dollars, Quarters, Dimes, Nickels and Pennies; use Add currency denomination and the Delete links to match your cash set. These denominations drive the count grids in registers and cash management.

Add exchange rates

Still under Store Config → Currency, the Exchange Rates table lists every alternate currency you will accept at checkout. Click Add Currency Exchange Rate for each one and fill in the row:

  • Exchange To — the currency's code, e.g. CAD or EUR. This is the label cashiers see in the dropdown.
  • Currency Symbol — the symbol printed for amounts in this currency.
  • Currency Symbol Location — before or after the number, for this currency.
  • Number of Decimals — fixed 0–5, or Let system decide.
  • Thousands Separator and Decimal Point — how this currency writes numbers.
  • Exchange Rate — how many units of this currency equal one unit of your default currency. A USD store accepting Canadian dollars at 1.35 CAD per USD enters 1.35.

Click Save when done. To remove a currency, use the row's Delete link and save.

Keep rates current — the app applies exactly what you entered, with no automatic updates. An outdated rate means the tendered amount converts wrong: cashiers see the wrong balance and your totals drift from what you actually received.

Take payment in another currency

  1. Ring up the sale as usual — see ringing up a sale.
  2. On the payment panel, an Exchange To dropdown appears (only when at least one exchange rate exists). It lists your default currency code plus every configured currency.
  3. Pick the customer's currency. The subtotal, tax, total, and amount due re-display in that currency, using its own symbol, decimals and separators, converted at your configured rate.
  4. Enter the amount tendered in that currency and add the payment. You can still split payments across tenders.
  5. Complete the sale when the balance is covered. The sale itself is recorded against your default currency; the exchange currency governs what the customer sees and hands over.

Preset a currency per location

If one of your stores mostly trades in an alternate currency, set it once instead of picking it on every sale: edit the location and choose a Currency Default Exchange Rate (the field appears on the location form only after you have configured exchange rates). New sales at that location start with that payment currency already selected. See locations and registers.

Converted totals on receipts

Two receipt behaviors matter for multi-currency stores:

  • A sale completed in an exchange currency prints its amounts in that currency, including the exchange rate applied.
  • Show Exchanged Totals On Receipt (Store Config → Receipt) prints the sale total converted into every configured exchange currency at the bottom of ordinary default-currency receipts — useful in border towns where customers want to see both figures. See customizing receipts.

Interactions and gotchas

  • Drawer counts stay in the default currency. Opening and closing counts, denominations, and the register log all use your default currency — foreign notes you accept should be converted and reconciled by their converted value. See registers and cash management.
  • Card processing is separate. These exchange rates only convert what the register displays and what cash customers hand over. An integrated card terminal charges in the processor's configured currency — processor currency settings live on the location, per setting up credit card processing.
  • Reports are in the default currency. Sales totals in reports are stored and shown in your default currency.
  • Train the counter. The most common mistake is counting foreign cash while the dropdown still shows the default currency. Confirm Exchange To before entering the tendered amount.

Common questions

Which direction does the exchange rate go? From your default currency to the foreign one: enter how many foreign units equal one unit of your currency. Pricing in USD and accepting CAD at 1.35 per dollar means 1.35 in the rate field.

Why don't I see a currency dropdown at checkout? No exchange rates are configured. The Exchange To dropdown only appears once at least one row exists in Store Config → Currency → Exchange Rates.

Do exchange rates update automatically? No. The rate applied is exactly the number in the table. Update it on a schedule that matches how often your bank or cash house changes theirs.

Can one store default to a different currency than the rest? Yes — set Currency Default Exchange Rate on that location's form and its sales start in that currency automatically.

Does the customer's card get charged in the foreign currency? No. Exchange rates affect displayed totals and cash tenders; an integrated terminal charges in the currency your processor is configured for on the location.

How do I show both currencies on every receipt? Enable Show Exchanged Totals On Receipt under Store Config → Receipt — regular receipts then print the total converted into each configured currency.

How is change calculated on a foreign-cash payment? The tendered amount is converted at your configured rate and applied against the balance; with a payment currency selected, the amounts on the payment panel and the receipt — including any change — are displayed in that currency.
