In Receivings, switch to Transfer mode, choose the from and to locations, add items and send the transfer request — or complete it immediately for a quick transfer. The destination sees it under Incoming Transfers and completes it to move the stock.
When you run more than one location, stock rarely stays where it was received. Transfers move inventory between stores with a paper trail: one location sends, the other confirms, and the counts change only when the transfer is completed. Transfers live in the Receivings module — the Transfer mode only appears when your account has more than one location, so start at locations and registers if you are still setting up.
The two workflows
Request-based transfer. Store A creates a transfer request for inventory held at Store B. Store B checks its Transfer Requests queue, sees the pending request, prepares the shipment, and can leave a comment so Store A knows it is on the way. When the boxes arrive, Store A opens the request from Incoming Transfers and marks it complete. Only that completion moves the quantities — out of Store B, into Store A. Stock in transit is never silently double-counted or lost, because the transfer sits as a request until someone at the destination confirms it arrived.
Quick transfer. Sometimes the goods are already in hand and there is nothing to request. Create the transfer and click Complete Transfer immediately: both locations' inventory updates on the spot and no request ever enters the queues.
Create a transfer
- Open Receivings in the left menu.
- Click the mode button near the search bar (it reads Receive by default) and select Transfer.
- Add the items to move, scanning or searching as usual, and set each line's quantity and cost. Totals on a transfer show as negative numbers, because the inventory value is being removed from the sending location.

Fill in the two location fields, either to the right of or below the item list:
- Transfer From Location — the store that currently holds the items.
- Transfer To Location — the store that needs them and will receive them. Start typing and matching locations appear in the dropdown. Use Edit to change a chosen location or Detach to remove it. The + button next to either field creates a new location, which requires purchasing an additional location for your plan first.

Check the optional fields:
- Change receiving date — transfers are dated when submitted; tick the box to pick a different date.
- Comments — notes on the transfer, visible to you and to the other location in the queues and on the request.
- Custom fields — any transfer/receiving custom fields you have configured (see below).

Finish one of two ways:
- Send Transfer Request — saves the transfer as a pending request. Inventory at both locations stays unchanged until the request is completed. Requires the Send Transfer permission.
- Complete Transfer — updates inventory at both locations immediately and removes the transfer from the queues. Requires the Complete Transfer permission. Use caution: once completed, the request no longer appears in any queue.
Either way you land on the receivings receipt, with the same print, email, download, clone and barcode actions as any receiving — see receiving stock.
View transfer requests (stock you must send)
If you have multiple locations, periodically check whether other stores have requested inventory from yours:
- Open Receivings, click the ellipsis (...) and select Transfer Requests.
- The Transfer Requests page lists the transfers your location is expected to send out, with any comments visible.
- Click Unsuspend on a request to open it, review the details, adjust lines, or — depending on your workflow — click Complete Transfer once the goods have physically moved.
View incoming transfers (stock you are expecting)
After sending a request, track its status from the receiving side:
- Open Receivings, click the ellipsis (...) and select Incoming Transfers.
- The page shows only transfers your location is expecting — transfers going out from your location do not appear here (those are in Transfer Requests at the sending store).
- Click Unsuspend to open a request, check comments, or complete it when the shipment arrives.
Edit a transfer request
- Open Receivings, click the ellipsis (...) and select Transfer Requests or Incoming Transfers.
- Locate the request and click Unsuspend. The transfer loads back onto the creation screen where every field can be changed — items, quantities, locations, date, comments, custom fields.
- Save your changes with Send Transfer Request (keeps it pending) or Complete Transfer (moves the stock now).
Delete a transfer request
- Open Receivings, click the ellipsis (...) and select Transfer Requests or Incoming Transfers.
- Click Delete in the far-right column of the request — or tick the checkboxes of several requests (or the top checkbox for all) and click Delete above the queue. The Delete buttons only appear with the Delete Suspended Receiving permission; the app also checks Delete receiving when the deletion is submitted.
Use caution: deleting a transfer request cannot be undone. Since a request has not touched inventory yet, deleting one simply discards the plan.
Custom fields on transfer requests
Transfers share the Receivings module's custom fields, so extra information — courier, tracking number, pallet count — can ride on every request:
- Open Receivings, click the ellipsis (...) and select Custom Field Configuration.
- Create up to 10 fields. Each has a Name, a Type (Text, Dropdown with your own values, Checkbox, E-Mail, Website, Phone Number, Date, Image, or File), plus three checkboxes: Show on Receipt (off by default), Hide Field Label (print the value without its label), and Required (blocks saving until filled, on new and old records alike).
- Click Save in the bottom right. Fields appear on every transfer request; only the ones you mark required are mandatory.

Settings that shape transfers
Both live in Store Config:
- Do not allow items to be out of stock when transferring — blocks completing a transfer that would drive the sending location's stock negative; the error "One or more items will be out of stock when completing this transaction" appears instead. This can also be overridden per location on the location's own settings.
- Update Cost Price On Transfer — recalculates the item's cost price at both ends when a transfer completes, using your averaging method, so the receiving location's cost reflects what the stock is worth when it lands. See cost price averaging.
Permissions
Sending and completing are separate employee permissions on the Receivings module, so you can control each side independently (permissions and templates):

A warehouse employee might only send; a store clerk might only complete. Without Complete Transfer, the employee sees "You do not have permission to complete transfer" and must ask a manager.
Track movement with the Transfers report
Under Reports, the Receivings section includes a Transfers report (visible only with multiple locations, gated by the reports View Receivings permission). It shows what moved, between which locations, when, and in what quantities — the answer to "where did those units go, and did last week's transfer ever get completed?" If a physical count still does not match after a transfer completes, correct it with an inventory adjustment rather than a compensating transfer — see stock levels, adjustments and damaged items.
Common questions
Why don't I see the Transfer mode in Receivings? Transfer mode only appears when your account has more than one location. Add locations under locations and registers.
When does the inventory actually move? Only when the transfer is completed — either Complete Transfer at creation (quick transfer) or completing a pending request later. Send Transfer Request changes nothing at either location.
Which store is "Transfer From" and which is "Transfer To"? Transfer From Location is where the items physically are now; Transfer To Location is where they are going. If you are requesting stock for your own store, your store is the Transfer To location.
Why are the totals on my transfer negative? That is expected: the transfer records inventory value leaving the source location, so line and document totals display as negative amounts.
Why can't I complete a transfer? Either your employee account lacks the Complete Transfer permission, or Do not allow items to be out of stock when transferring is on and the sending location does not have enough stock for one or more lines.
A transfer was completed by mistake — how do I undo it? A completed transfer leaves the queues, but it is still a receiving: look it up by its Receiving ID (Lookup Receipt in the ellipsis menu), then edit or delete it with the appropriate permissions, and stock at both locations adjusts. See receiving stock.
Can the other store see the comments I leave? Yes — comments on a transfer request are visible in the queues and on the request screen at both locations, which makes them a good place for shipment notes like "sent Tuesday on the afternoon van."
Does the destination store pay for transferred stock? No money changes hands: a transfer moves quantity (and, with Update Cost Price On Transfer, cost) between locations. It is not a sale and never appears in sales reports.
