Every major record type — customers, suppliers, employees, items, item kits, sales, receivings, and work orders — supports up to ten custom fields. Configure them from the module's ellipsis (...) menu: pick a type (text, dropdown, checkbox, email, website, phone, date, image, file), then choose whether each prints on receipts, is required, and at which locations.
Standard profiles cover the usual contact and pricing fields. Custom fields let you attach store-specific data — birthdays, secondary emails, license numbers, warranty notes, purchase-order references — to your records without changing the product itself. Once you create a custom field it appears on every record of that type, and it is only mandatory if you mark it Required.
You can define up to 10 custom fields for each of these record types, each configured separately:
- Customers — see customer profiles
- Suppliers — see suppliers
- Employees — see employee accounts; the fields appear at the bottom of the employee's basic information, just above file attachments
- Items — see creating items
- Item kits — see item kits and modifiers
- Sales — fields appear on every sale, including returns and estimates; a separate set of line item custom fields attaches to each line of a sale
- Receivings — with their own separate line-item set as well; see receiving stock
- Work orders — see work orders; these can also print on the service tag via Store Config → Work Order
Item categories support custom fields too: open Items → Categories and click [Custom Field Configuration] next to a category.
Create or edit custom fields
The pattern is the same for every module:
- Open the module in the left menu — for example Customers, Suppliers, Employees, or Items. (For customers, click the Customers sub option.)
- In the top right of the manage screen, click the ellipsis (...) button to see more options.
- Select Custom Field Configuration.
- Fill in the settings for each of the ten field slots you want to use (details below).
- Click Save in the bottom right. The fields immediately appear on every new and existing record of that type.
For Sales and Receivings the ellipsis (...) menu sits on the register screen itself, and offers two entries: Custom Field Configuration for fields on the whole transaction, and Custom Field Configuration (Line Item) for fields on each line. Line-item fields can additionally be overridden per item from the item's form.
You can return here at any time to rename a field, change its type, or adjust its options — update the values and click Save again.
Settings for each field
Every field slot has the same configuration:
- Name — the label shown on the record form (and on receipts, if you print the field).

Type — what kind of input the field is:
- Text — free-form written information: notes, codes, references.
- Dropdown — a fixed list of choices. Selecting this type reveals a values box: type a value and click Add New Value to add it; repeat to build the list. Answers stay consistent because staff pick instead of typing.
- Checkbox — a yes/no flag; best when the field name is a question that checking the box answers.
- E-Mail — an additional email address.
- Website — a URL.
- Phone Number — an additional phone number.
- Date — a date picker, for renewals, birthdays, warranty ends.
- Image — an additional image file attached to the record.
- File — any file attachment: an image, a PDF, or any other file type.
- Show on Receipt — off by default. When checked, the field and its value print on the receipt (for sales fields, the sale's receipt; for customer fields, on receipts for that customer's sales). See customizing receipts for the rest of the receipt layout.
- Show on Fulfillment Sheet — off by default; prints the field on the fulfillment sheet described in receipts, gift receipts and fulfillment sheets.
- Show on Customer Intake Form — customer fields only; includes the field on the customer intake form customers fill in themselves. See marketing, messaging and intake.
- Hide field label — prints the value without its label on receipts — useful when the value speaks for itself, like an image or a dropdown selection.
- Required — off by default. When checked, the field must be filled in before any record of that type — new or existing — can be saved. Checking it also reveals a Locations checklist (with a Select All shortcut): the field is only enforced at the locations you tick, so a field can be mandatory at your main store but optional at a pop-up. Fill values on each record
After you save the configuration, the new fields appear on the create/edit form of every record of that type. Enter or edit values like any other field:
- Text, email, website, and phone fields accept typed values.
- Dropdowns offer exactly the values you configured.
- Date fields open a date picker.
- Image and file fields accept an upload; images are resized automatically. Uploaded files are served back through signed links that open without signing in — so a value can be shared outside the app — and only image files (jpg, png, gif, webp, tiff and similar), .txt and .pdf are served; other file types are stored but will not open.
On sales and receivings, transaction-level fields are filled in on the register screen, and line-item fields on each line.
Where the values show up
- Manage screens — custom fields are available as columns on the Customers, Suppliers, Employees, Items, and other manage lists. Click the gear button at the top right of the table (Column Configuration), tick the fields you want as columns, and drag to reorder; the layout saves per user. Custom-field columns sort like any other column. See customizing the menu and modules.
- Receipts and documents — any field marked Show on Receipt or Show on Fulfillment Sheet prints there; work-order fields can print on the service tag when enabled in Store Config → Work Order.
- Excel import and export — custom fields are included as columns in the Excel export and in the import template, so you can fill them in bulk. See importing your data.
- The REST API — custom field values are readable and writable through the API. See the REST API and webhooks.
Ideas that pay off
- Customers — birthday, preferred contact method, tax ID, VIP flag, how they found you.
- Suppliers — your account number at the vendor, lead time in days, preferred order day.
- Employees — certification expiry, uniform size, emergency contact.
- Items — country of origin, care instructions, internal SKU alias, warranty length.
- Sales — purchase-order number, delivery window, "gift" flag for wrapping.
- Work orders — device passcode, fault category, promised date.

Common questions
How many custom fields can I create? Up to 10 per record type — 10 for customers, 10 for suppliers, 10 for employees, 10 for items, and so on. Sales and receivings each get 10 transaction-level fields plus 10 line-item fields.
Where is the Custom Field Configuration screen? On the module's manage screen (or the sales/receivings register), click the ellipsis (...) button in the top right and choose Custom Field Configuration.
Can I make a custom field mandatory? Yes — check Required on the field. Every record of that type, new and old, will then demand a value before it can be saved or edited. Use the Locations checklist that appears to enforce it only at some locations.
Can a custom field print on the receipt? Yes — check Show on Receipt on the field. Check Hide field label as well if you want only the value, without the field name.
What happens to existing data if I rename a field or change its type? The stored values stay on the records; the form simply presents them under the new name or input type. If you change a dropdown's values, records keeping an old value retain it until edited.
Can customers fill in a custom field themselves? Customer fields with Show on Customer Intake Form checked appear on the intake form customers complete on their own.
Can I import custom field values from a spreadsheet? Yes — the Excel import template for each module includes a column per custom field. Dates import as dates, checkboxes as 1/0.
Why don't I see the Custom Field Configuration option? You need access to that module (and its manage screen) under your employee permissions — ask an admin to check your permission template.
