Registers and cash management

Enable Track Cash In Register (and other tenders) in Store Config, choose your register at the sales screen, open it with a counted amount, log cash in and out during the day, and close by counting denominations — over/short is recorded and every open and close lands in the register log.

Cash stays honest when every register follows the same rhythm: open with a counted amount, record every time cash moves, and close with a count. PHP Point Of Sale builds that rhythm in — per register, per tender type — and keeps a log of all of it.

Turn on register tracking

Tracking is off until you enable it per payment type in Store Config → Sales:

  • Track Cash In Register — the main switch for cash drawer tracking.
  • Track Checks In Register, Track Giftcards in Register, Track Debit Cards In Register, Track Credit Cards In Register — add an opening and closing count for each of those tenders too.
  • Track [payment type] In Register — an equivalent checkbox appears for every custom payment type you have added.

Once at least one tender is tracked, employees see the opening screen before they can ring sales, and the closing screen before the register is done for the day. Related settings in the same section:

  • Do not show expected closing amount when closing register — makes closes blind: the closing amount field is left empty instead of pre-filled with what the drawer should hold, so nobody can count "to the number". Off by default.
  • Amount of Cash to be Left in Drawer at Closing — tomorrow's float. When set, the closing screen computes Amount of Cash to Deposit In Bank as expected cash minus this amount.
  • Alert when cash is above / Alert when cash is below — warn when the drawer holds too much (time for a cash drop) or too little (about to run out of change).
  • Condense Register Log Details — shortens the detail shown in the register log.

Registers themselves are created inside each location — see locations and registers for adding registers, naming them, and per-register options like tips.

Choose your register

Every sale is rung on a specific register, and the register you're on is always shown in the sales screen header.

  • If the location has one register, it is selected automatically.
  • If the location has several, the Choose Register screen appears when you open the sales screen. With tracking on, each register shows its status (Open or Closed), the employee who opened it, its opening amount, and — when cash is tracked — the amount it should currently hold.
  • An employee can have a Default Register on their profile (see employee accounts); it is selected automatically at that location, which is handy with fast user switching.
  • Picked the wrong one? Click [Change Register] next to the register name in the sales screen header to return to the selection screen.

Open the register

With tracking enabled, the opening screen appears before the first sale ("Please enter an opening amount to get in the sales register"):

  1. Count the drawer using the Denomination / Count grid — enter how many of each bill and coin, and the total is computed for you. The denominations offered (100's, 50's, 20's, 10's, 5's, 2's, 1's, Half Dollars, Quarters, Dimes, Nickels, Pennies by default) are editable under Store Config → Currency — see multiple currency and exchange rates.
  2. Enter an Opening amount for each tracked tender. The Previous Closing Amount for each is shown right above the field for comparison.
  3. Click Save. The register is now open under your name in the log.

Employees with the right permission also get a Pop Open Cash Drawer link here to open the drawer without a sale.

Add or remove cash during the day

Paying a courier, making a cash drop, topping up the change — record it so the drawer's paper trail stays complete:

  1. On the sales screen, open the ... (more) menu.
  2. Choose Add cash to register or Remove cash from register.
  3. Enter the amount and an optional comment explaining the movement, then Submit.

If you have already added or removed cash this shift, the screen tells you how much, and the new entry is an additional amount. Every movement is stored and rolls up into Total Additions and Total Subtractions on the closing screen and in the register log.

This whole feature — including the Pop Open Cash Drawer action — is gated by the Add Remove Amounts From Cash Drawer action permission under Sales, so only the employees you choose can touch the drawer between sales. Grant it in permissions and templates.

Close the register

  1. On the sales screen, open the ... menu and choose Close Register.
  2. Review the details panel per tracked tender: Open Amount, Sales, Total Additions and Total Subtractions (each with an Edit link to record a last-minute movement), and the expected total — "You should have X in the register."
  3. If Amount of Cash to be Left in Drawer at Closing is configured, the screen also shows Amount of Cash to Deposit In Bank — expected cash minus the float to leave.
  4. Count the drawer with the Denomination / Count grid and enter a Closing amount for each tracked tender. Unless blind closing is on, the field is pre-filled with the expected amount — replace it with what you actually counted.
  5. Watch Total Over/Short update live as you type: positive means over, negative means short.
  6. Add Notes if anything needs explaining, then click Submit and confirm "Are you sure you want to close register?". If your count doesn't match the expected balance you are warned before it saves.

Prefer not to close? Click Logout without closing register (Next employee will close) — right for shift changes where several employees share one drawer across the day. Closing belongs to the end of the day, not to every coffee break.

The register log and reports

Every open and close is a register log entry: who opened, who closed, opening and closing amounts per tender, additions, subtractions, over/short, and the notes. Find it under Reports → Register Logs (the Detailed report) — it requires the View Register Log permission, and the report group only appears once at least one payment type is tracked. An entry still open shows as "Register Still Open". The log details also show the computed bank deposit amount.

Editing or deleting log entries is separately permission-gated (Edit Register Log and Delete Register Log, under Reports), so the history stays trustworthy.

Two more places the data lands:

  • The Closeout report — end-of-day totals for registers (sales, payments, and cash) that put recorded sales next to what you counted, per register, so a short drawer shows up the same day. See sales and closeout reports.
  • The Registers reports — summary and graphical sales totals grouped by register, useful for comparing lanes. Both are gated by the Reports-module Registers permission, separate from View Register Log.

A closeout report can also be emailed automatically each day per location — see emailed reports and statements.

Edge cases worth knowing

  • Shared registers: the log records who opened and who closed — they don't have to be the same person. Use Logout without closing register between shifts.
  • A register in use: if a sale is already open on a register, the app warns "Sale is open on Register X by Y" so two clerks don't collide on one till.
  • Cash alerts: with Alert when cash is above/below configured, the register warns when the drawer drifts outside your comfort zone mid-day.
  • Non-cash tenders: checks, gift cards, debit and credit counts are simple totals (no denomination grid) — you enter one opening and one closing figure per tender.

Common questions

Why doesn't the opening amount screen appear? No payment type is being tracked. Enable Track Cash In Register (or another tender) in Store Config → Sales.

How do I see if a register came up over or short? Run Reports → Register Logs → Detailed — every close records the counted amount against the expected amount, with over/short per entry. The Closeout report shows the day per register.

Can I stop cashiers from seeing what the drawer should contain? Yes — enable Do not show expected closing amount when closing register in Store Config → Sales for blind counts.

Who can add or remove cash from the drawer? Only employees with the Add Remove Amounts From Cash Drawer action permission under Sales. The same permission gates the Pop Open Cash Drawer action.

Do I have to close the register every time I log out? No. Use Logout without closing register (Next employee will close) during shift changes; close once at the end of the day.

How does the drawer's float carry to tomorrow? Set Amount of Cash to be Left in Drawer at Closing in Store Config → Sales. The closing screen then shows the bank deposit as expected cash minus that float, and the previous closing amount appears on the next opening screen.

Can I fix a register log entry that was entered wrong? An employee with the Edit Register Log permission can edit it (and Delete Register Log allows removal). Both live under the Reports module in permissions and templates.

Where do I change which denominations the count grid shows? Under Store Config → Currency → Currency Denominations — add or delete rows to match the bills and coins in your till.
