Receipts, gift receipts and fulfillment sheets

Every completed sale ends on the receipt screen: print in thermal or wide formats, email or SMS the receipt, toggle a price-free gift receipt, share a web receipt via QR code, and print fulfillment sheets for pick and pack.

The receipt is the one piece of your store most customers take home — and a single sale can need several documents: the customer's copy, a gift receipt, a merchant copy for a card payment, a fulfillment sheet for the back room. Every completed sale in PHP Point Of Sale ends on the receipt screen, which produces all of them in whatever combination the moment calls for.

The receipt screen, button by button

Completing a sale (or a return, or an estimate) opens the receipt with an action bar across the top:

  • Edit — reopens the sale on the register to fix a mistake; completing it again replaces the record. Gated by the Edit Sale permission. See ringing up a sale.
  • Fulfillment Sheet — opens the pick-and-pack version of the sale in a new tab (details below).
  • Gift Receipt — switches the on-screen receipt to the gift version; press Regular Receipt to switch back.
  • Email Receipt — emails the receipt to the attached customer's address.
  • SMS Receipt — texts it to the attached customer's mobile number.
  • Create PO — starts a purchase order pre-filled with the items and quantities just sold, for reordering what left the shelf. See purchase orders.
  • Download (arrow icon) — downloads the receipt as a PDF.
  • Clone — duplicates the whole sale onto the register as a new transaction you can adjust and complete; useful for repeat orders. (Disable with Store Config → Sales → Disable Sale Cloning.)
  • Return — loads this sale as a return; see returns, exchanges and trade-ins.
  • Duplicate receipt — a checkbox that makes the next print produce a second copy labeled as a duplicate.
  • Print — prints the receipt using the browser's print dialog, or straight to a thermal printer through PrintNode when configured.
  • Pop Open Cash Drawer — fires the drawer without printing. Gated by the Add Remove Amounts From Cash Drawer permission.
  • New Sale — clears the screen and returns to the register for the next customer.

Deliver the receipt any way the customer prefers, alone or together:

  • Print. The standard format targets 80mm thermal paper; Store Config → Receipt → Wide Printer Receipt Format switches to a full-width layout for regular printers, and Receipt text size (default: small) scales the type. Printing through PrintNode sends the job silently to the register's receipt printer and can pop the cash drawer — setup is in receipt printers, cash drawers and PrintNode. To print automatically after every sale, enable Store Config → Receipt → Print receipt after sale (default: off).
  • Email. Sent to the customer on the sale; the register's Email Receipt toggle (or the receipt screen's button) triggers it. Automatically Email receipt sends one for every sale that has a customer with an email address. The subject line comes from Email Receipt Subject, and with Enable PDF receipts the receipt is attached as a PDF file with PDF receipt message in email body as the covering text. Delivery setup is in email, SMS and notifications.
  • SMS. Sent to the customer's mobile number via the SMS Receipt toggle or button, with an Automatically SMS receipt setting to text every sale.

Individual customers can also be flagged to always receive an emailed or texted receipt on their customer profile.

Gift receipts and merchant copies

A gift receipt shows the items and a barcode but hides every price and the total, so the recipient can exchange the gift without ever learning what was spent. Press Gift Receipt on the receipt screen, print it alongside the normal receipt, then press Regular Receipt to switch the screen back.

For card sales you can also produce a Merchant Copy — the store's copy of the transaction with the signature line, kept separately from the customer's copy. Two settings automate it: Store Config → Receipt → Automatically print duplicate receipt for credit card transactions and Always print duplicate receipt for all transactions. The web receipt and its QR code

Emailed receipts include a View Receipt On Web Page link — a shareable page holding the receipt for good, handy for warranty claims and expense reports long after thermal paper has faded.

The printed receipt can carry the same thing as a QR code. In Store Config → Sales:

  • Show QR code on sale receipt — prints the QR code on every receipt. Default: off.
  • QR Code Format — what the code contains: Link To Receipt (opens the web receipt), Sale Summary Info (encodes the sale data itself), or Saudi Arabia Digital Receipt (the ZATCA-compliant format).
  • Disable verification for QR codes (Do not require a phone number or email) — by default the web receipt asks the visitor to verify with the phone number or email on the sale before showing details; this switch opens it without verification.

The receipt also prints a scannable sale barcode (unless Store Config → Receipt → Hide barcode on receipts is enabled) — scanning it later at the register offers to edit or return that sale.

The Sale ID on the receipt is also what a return asks for. With Prompt for Sale ID on return enabled in Store Config → Returns — or when a return is completed with Require Receipt for Return on and no sale linked yet — the register opens a dialog titled Please Enter or Scan the Sale ID (POS XXX) with two buttons. Load Sale Items (also triggered by pressing Enter) clears the cart and loads every item from that sale as return lines; Do NOT load Sale Items only links the return to that sale without touching the cart, so you ring in just the items actually coming back while the return stays tied to the original receipt — and the link still satisfies Require Receipt for Return.

Fulfillment sheets

A fulfillment sheet is the receipt's warehouse-facing sibling: the same items laid out for picking and packing. Press Fulfillment Sheet on the receipt screen; it opens in its own tab with a Print button.

  • Store Config → Receipt → Hide Prices on Fulfillment Sheet — produce the price-free version for when the sheet travels inside the box to someone who wasn't the buyer.
  • Show Item Tags On Fulfillment Sheet — adds each item's tags, useful for warehouse locations kept as tags.
  • Override Fulfillment Sheet Title — rename the document ("Packing Slip", "Pick List"...).
  • Custom fields on sales, items and item kits each have their own "show on fulfillment sheet" switch, so the sheet can carry exactly the operational data your packers need — see custom fields.

Reprints and finding old receipts

Any receipt can be produced again:

  1. On the Sales screen, open the 3-dot (...) menu.
  2. Choose Show last sale receipt for the most recent transaction, Lookup Receipt to enter any Sale ID (it's printed on the receipt with your sale prefix, default POS), or Show all receipts for today to browse the day, with a date selector for other days.
  3. Print, email, SMS or download from the receipt screen as usual.

The lookups are permission-gated — Can Lookup Last Receipt and Can lookup receipt — so the quick "can you print that again?" stays fast at the counter without opening the sale history to every employee. Decide what the receipt shows

Receipt content is deeply configurable in Store Config → Receipt. Among the toggles: the header and footer text, your logo, Show item id on receipt, Show tax per item on receipt, Show Total Discount On Receipt, Show original price on receipt if marked down, Hide Points On Receipt, Hide store account balance on receipt, Show Images on Receipt, Uppercase Receipt Text, removing customer or employee names, grouping taxes, and a second language for bilingual receipts. Common questions

How do I reprint a receipt from last week? Open the 3-dot menu on the Sales screen, choose Lookup Receipt, and enter the Sale ID from the original receipt (or use Show all receipts for today and pick another date). Then press Print.

How do I print a gift receipt? Complete the sale, press Gift Receipt on the receipt screen, and print. Prices and totals are hidden but the items and a barcode remain, so an exchange still links back to the sale. Press Regular Receipt to return to the normal view.

Can the receipt email automatically after every sale? Yes — enable Automatically Email receipt in Store Config → Receipt. It emails every completed sale that has a customer with an email address on file; sales without one are skipped silently.

Why did the Email Receipt button do nothing? The sale has no customer attached, or the attached customer has no email address on their profile. Add the address in customer profiles and email again from the receipt screen.

What's the QR code on my receipt for? With Show QR code on sale receipt enabled and the format set to Link To Receipt, scanning it opens the web copy of the receipt on the customer's phone. By default the page asks the visitor to verify with the phone or email from the sale first.

How do I get a packing slip without prices? Press Fulfillment Sheet on the receipt screen, with Hide Prices on Fulfillment Sheet enabled in Store Config → Receipt. Rename it with Override Fulfillment Sheet Title if your shop calls it a packing slip.

Can I get a PDF of a receipt? Yes — press the download arrow on the receipt screen for an instant PDF, and enable Enable PDF receipts to have emailed receipts carry the PDF as an attachment.

Does a return or an estimate get a receipt too? Yes. Returns and estimates end on the same receipt screen with the same buttons; a return's receipt shows the refunded amounts as negatives, and estimates print under the estimate title so they read as quotes, not invoices.
