Price rules and promotions

The Price Rules module automates promotions: five rule types, scoped by items, kits, categories, tags, manufacturers or locations, scheduled by dates and days of the week, with optional coupon codes and per-sale limits.

A promotion you have to remember is a promotion that gets missed. The Price Rules module applies your promotions automatically at the register, so the advertised price is the charged price — no clerk math, no forgotten sale signs. Open Price Rules in the left menu and click Create Rule; every promotion below is built on the same Price Rule Information form.

Pick a rule type

Every rule starts with a Rule Name (required) and an optional Description; the Rule Type dropdown then decides which fields appear. Five types cover most promotions a store runs:

  • Simple Discount — a straightforward discount on whatever the rule covers: enter a Percent Off or a Fixed Off amount (typing in one clears the other).
  • Buy X Get Y Free (BOGO) — the classic buy-one-get-one and its bigger cousins: set Quantity to Buy and Quantity to Get.
  • Buy X Get Discount — the same quantity fields, but the "get" quantity receives the Percent Off/Fixed Off discount instead of being free.
  • Spend X Get Discount — reach a Spend Amount and the discount applies. This is the one type with no product pickers: it watches the sale total, not particular items.
  • Advanced Discount — quantity price breaks for bulk pricing, built in the Price Breaks table. Each row pairs a Quantity to Buy with either a Flat Discount Per Item or a Percent Off Per Item (one or the other per row — filling one clears the other), and Add Item Row adds the next break. Once the quantity on the sale reaches a row's Quantity to Buy, that row's discount applies to every unit, and the highest row the quantity qualifies for wins — the classic "1–9 full price, 10+ at 10% off" structure.

Mix and Match appears for the two Buy X types and Advanced Discount: tick it and quantities of different items covered by the rule count together toward the qualifying quantity — "any three ornaments" rather than three of the same one.

Point it at the right products

A rule applies to exactly what you scope it to, using five type-ahead fields: Select Items, Select Item Kits, Select Categories, Select Tags and Select Manufacturers — start typing and pick from the suggestions. The Locations checkboxes (All, or specific stores) limit a rule to chosen locations, so a clearance in one store doesn't ripple across all of them.

Schedule and limit it

Rules run themselves once you tell them when:

  • Start Date and End Date — the promotion switches itself on and off, so nobody has to remember to end it. Leave both blank for a rule with no expiry.
  • Applies On Days — keep All checked, or tick only the days (Mon–Sun) the rule should fire, for promotions that run just part of the week.
  • Maximum Allowed Per Sale — untick the Unlimited checkbox to reveal this field; it stops one big basket from stacking the same deal a dozen times. (Advanced Discount rules always apply without a cap.)
  • Active — checked by default; untick it to stage a rule ahead of time or pause one without deleting it.

Add a coupon

Tick Requires Coupon and a Coupon Code field appears: the rule then fires only when that code is entered on the sale — good for promotions you distribute rather than advertise in-store. Cashiers redeem codes in the Add Coupon Codes box on the register's sale panel, which appears only while at least one active coupon rule is running that day — no coupon rules, no box (see ringing up a sale).

The companion Print Coupon on Receipt checkbox makes the current sale advertise the discount that brings the next visit. Ticking it reveals Spend Amount To Activate On Receipt: the coupon prints only on receipts whose sale total reaches that amount — leave it blank to print it on every receipt while the rule runs.

Keep exclusions tight

Three exclusions keep rules from over-applying:

  • Exclude From Tiers — this checkbox list appears once at least one price tier exists; ticked tiers never combine with the rule, so customers on discounted tier pricing don't stack a promotion on top of prices that are already lowered.
  • Disable Loyalty — shown when your loyalty program is enabled; items discounted by the rule stop earning loyalty points, so a giveaway isn't also accruing rewards.
  • An individual item can be excluded from price rules on the item itself — useful for products whose margin can't absorb a promotion, no matter how broad the rule that would otherwise catch them.

Delete and undelete rules

Deleting from the Price Rules list (select rules, then Delete) retires a rule without destroying it. To bring one back, open the menu, choose Manage Deleted Price Rules, select the rule and click Undelete, then Done to return to the live list.

Measure the promotion

The Price Rules category in Reports holds Summary Reports and Detailed Reports showing what each rule actually did — how it was used and what it gave away — so you can keep the promotions that pay for themselves and end the ones that don't. See running reports for where to find them.

Permissions

Access to the module is controlled by the Price Rules permission on the employee profile; within it, Search Price Rules gates the list and searching, Add, Update gates creating and editing rules, and Delete gates both deleting and undeleting. The reports category above is gated separately, by the Reports module's Price Rules permission. See permissions and templates.

Price rules are for promotions that repeat; for one-off markdowns decided at the counter, manual discounting is the right tool instead — see discounts and price overrides.
