Managing Work Order Statuses

Introduction

Before starting to create work orders it’s helpful to make statuses that will help you keep track of what progress has been made on an order. For example, a work order may still need to be evaluated by a tech to determine what needs to be fixed, could be in the process of being fixed, or be ready for pickup by the customer. Setting up statuses allows you to at a glance see where your work orders are and what you need to focus on.

It’s important to note that the work order statuses in PHP POS are a manual process that requires you to update the status at each step.

Create a Status

To create a work order status, navigate to the Work Orders main feature page.

In the top right click the ellipses (...) to see more options and select Manage Statuses.

On the Manage Statuses page, click Add Status.

There are several fields that need to be filled out when creating a new status:

Name
This will be what populates in work order dropdowns to select as a status.

Description
This is for your reference so you can remember when the status should be used.

Color
The color will be how the status displays in the queue, click the field to open the color picker.

When you’re done with your selection click Save.

Edit Statuses

Navigate to the Work Orders main feature page.

In the top right click the ellipses (...) to see more options and select Manage Statuses.

On the Manage Statuses page, click Edit next to the status you want to update. Changes will affect all work orders assigned that status. Every field filled in when you created a status can be updated, click Save to keep changes.

Delete Statuses

Navigate to the Work Orders main feature page.

In the top right click the ellipses (...) to see more options and select Manage Statuses.

On the Manage Statuses page, click Delete next to the status you want to remove. If you delete a status it cannot be undone, the status will be removed from all items it was previously attached to.
