The Billing Information page is where you change the card or PayPal account PHP Point Of Sale charges, and where you edit the billing email and address. Open it with Update Billing Information in the app, or at phppointofsale.com/update_billing.php.
This page is where your PHP Point Of Sale subscription is billed. You use it to put a new card on file, change the billing email or address, and switch between monthly and yearly. It is a page on the PHP Point Of Sale website, opened from inside the app. Plan status, cancellation, and the grace period are covered in billing and your subscription.
Open the Billing Information page
The page title is Billing Information, and the line under it reads "Update Billing Info For PHP Point Of Sale". In Store Config this same page is called the billing portal. The Billing row there says "Manage payment methods, invoices, and subscription changes in the billing portal."
Any of these opens it:
- Click your name in the upper-right corner of the app and choose Update Billing Information. The page opens in a new tab, already signed in, when your employee account has the Store Config permission.
- Open Store Config (left menu, or your name → Settings), stay on the Company Information tab, and in the Subscription plan panel click Update Billing Information on the Billing row.
- On Home, while your trial is still running or a renewal payment has failed, the alert on the dashboard has the same Update Billing Information button.
- On the sign-in screen, the same button appears while a trial is running or a payment has failed. That link does not sign you in. The billing page asks for your PHP Point Of Sale username and password.
- Or open https://phppointofsale.com/update_billing.php yourself.
If you open the public address, or the button on the sign-in screen:
- Under the heading Store URL, type your store address. The box placeholder is
mystorename.phppointofsale.com. You can type the full address or just the part before.phppointofsale.com. - Click Proceed.
- If the store cannot be found, the page says "We could NOT find your store's account; please try again".
- Otherwise it says "Please authenticate using your PHP POS login. The user MUST have access to the store config/settings module." Enter Username and Password, then click Login.
A wrong password, or an employee without Store Config, shows "Your username and/or password is not correct or you do NOT have permission to update billing".
If Update Billing Information in the app does nothing when you click it, that employee does not have Store Config. Ask an admin to open it, or to grant the permission. See permissions and templates.
What the form shows
A note at the top says "* Required fields". You can edit:
- Company name (required)
- Name (required)
- Email (required). This is the billing email. Payment-failed notices and charge receipts are sent here.
- Country (required)
- Address 1 (required), Address 2, City (required), and State (required). These four appear only when Country is United States. Zip and Phone stay on the form for every country.
- Zip
- Phone (required)
- Business Type
Under PHP POS Account Option, when the last renewal has not failed, the form also has:
- Plan
- Number of Locations, with choices such as "1 Location" and "2 Locations"
- Billing Frequency, with Monthly and Yearly
Some older accounts see one combined list instead, with a line for each size such as "1 Location" followed by the price, "USD Monthly" or "USD Yearly". A special price is shown as a Custom Pricing line with the amount and whether it is monthly or yearly.
Sales Tax and Total sit under that choice. When State is New York, Total includes sales tax of 8%. Total is the amount the subscription will bill.
When a subscription already exists, the form also shows Subscription ID and Next Billing Date. A cancelled subscription says "Next Billing Date: Never; your subscription is cancelled". During a trial that has not been charged yet, it shows Trial End Date and "(If you enter billing info now, you won't be charged until trial ends)".
Update Billing Info shows what is on file today:
- A card reads "Credit Card:" followed by the card type, the last four digits, and "Expires -" with the month and year.
- PayPal reads "PayPal Account:" followed by the PayPal email.
The buttons are Update Payment Method (or Restart Billing if the subscription is cancelled), Submit, and Go Back to POS. Cancel Account appears only while the subscription is paid and in good standing. Cancelling is covered in billing and your subscription.
Change the card
- Open the Billing Information page.
- Click Update Payment Method. If the subscription was cancelled, the button says Restart Billing instead.
- A secure payment form opens on the same page. Enter the new card. The form also accepts PayPal, Apple Pay, Google Pay, and Venmo.
- Click Submit.
If the store is still a trial and no card has been added yet, the payment form is already on the page. Fill it in and click Submit. You are not charged until the Trial End Date on the form.
When it saves, a green notice at the top says "Your billing information has been updated!" The line under Update Billing Info then shows the new card type, last four digits, and expiration, or the new PayPal email. The new method replaces the previous one.
If the card is declined, a red notice says "Unable to process payment. Please verify card information and try again. If payment fails again you will need to contact your bank."
Change the billing email or address
Edit Email, and the address fields you need, then click Submit. Leave Update Payment Method unclicked when the card stays the same. After that button is clicked, Submit waits for a new payment method before it will save.
Address 1, Address 2, City, and State are on the form only when Country is United States. For any other country, set Country, Zip, and Phone, and the street address fields are hidden.
The same green notice, "Your billing information has been updated!", confirms the save. If the card already on file cannot be used, the page shows the red "Unable to process payment…" notice even when you only changed the email. Update the card with Update Payment Method, then click Submit again.
Switch between monthly and yearly
When the last payment has not failed, choose Monthly or Yearly under Billing Frequency (or the matching monthly or yearly line on an older account). Check Total, then click Submit.
Changing frequency does not charge you on the spot. The new schedule starts on the Next Billing Date already shown.
Plan and Number of Locations are saved the same way. The last choice in an older location list reads "More than 20 stores? Contact us!" and opens the contact form.
If the renewal charge failed, Plan, Number of Locations, and Billing Frequency are not on the form. Update the card first. After a charge succeeds, those choices come back.
If the page says "You have more than one account with the same store url", billing cannot be changed here. The notice asks you to contact support, because the store is still tied to an older PayPal billing record as well as a newer one.
If a payment fails
You get an email with the subject "PHP Point Of Sale Subscription Payment Failed ACTION REQUIRED". It says the payment failed, links to this page, and says "Payment attempt(s) will be made 2 more times total; if it is unsuccessful your account will be cancelled."
You can still sign in and use the store. The sign-in screen and the Home dashboard show a red alert: "Your payment for PHP Point Of Sale has failed. Please follow the below link for instructions on how to update your credit card in paypal", with an Update Billing Information button. That button opens this Billing Information page. Click Update Payment Method, enter a card that can be charged, and click Submit.
Receipts
When a renewal charge succeeds, a receipt is emailed to the Email address on this form. The billing page does not list past invoices. It shows Subscription ID and Next Billing Date only. For a copy of an older receipt, contact support and include your store URL.
If the page talks about PayPal instead of a card form
Some older subscriptions still bill through a PayPal account. That page shows "The PayPal account we have on file is using email" and your PayPal email, then: "When you signed up for PHP Point Of Sale, your subscription was linked to a PayPal account. Payment is first taken from your PayPal account balance. If you do NOT have a balance then it will take it from your chosen payment method."
Follow the steps printed on the page.
If you have a PayPal business account:
- Log in to your PayPal account (the email shown on the page).
- Click Profile next to "Log Out" and select Profile and settings.
- Click My money.
- Click Update in the My preapproved payments section.
- Click the name of the merchant for the agreement you want to change (PHP Point Of Sale).
- Click Change in the Payment Method section.
- Select the payment method you’d like to use.
If you have a PayPal personal account:
- Log in to your PayPal account.
- Click the settings icon next to "Log out."
- Click Preapproved Payments under "Payment settings."
- Click the name of the merchant for the agreement you want to change (PHP Point Of Sale).
- Click Change in the Payment Method section.
- Select the payment method you’d like to use.
That page’s Cancel account section links out to PayPal to cancel, rather than showing Cancel Account on the form.
Installed from the Shopify App Store?
Card changes for a Shopify-installed store are handled in Shopify, not on this page. Use Activate billing and Cancel Shopify Billing under Store Config → Shopify. See connecting Shopify and billing and your subscription.

Common questions
Can I change the card from the sales screen? No. The card fields are only on the Billing Information page. Update Billing Information in the app opens that website page in a new tab.
Why does Update Billing Information do nothing? The signed-in link is only created for an employee with the Store Config permission. Ask an admin to open it, or to grant you that permission.
The page asked me to log in. Which password? You opened it from the sign-in screen or from the public web address, which does not carry a signed-in link. Use the Username and Password of an employee who has Store Config, then click Login.
I only want to change the billing email. Edit Email and click Submit. Do not click Update Payment Method unless the card should change too.
Where do I see invoices? A receipt is emailed to the billing Email when a charge succeeds. This page lists Subscription ID and Next Billing Date, not past invoices. Contact support for an older copy.
Can I switch monthly and yearly myself? Yes, with Billing Frequency, as long as the last renewal did not fail. If it failed, update the card first. The new frequency starts on the Next Billing Date already shown, not immediately.
The subscription was cancelled. How do I start it again? Open the page and click Restart Billing, enter a payment method, and click Submit. What the sign-in screen shows after a cancellation is covered in billing and your subscription.
