Store Config shows a Subscription plan panel with your plan name, status badges and feature entitlements, plus an Update Billing Information button that opens the billing portal. This page also covers trials, failed payments, cancellation and the grace period, per-location licensing, and Shopify App Store billing.
Your store runs on a subscription, and everything about it — what plan you are on, whether it is in good standing, which features it unlocks, and where to update your card — is visible from inside the app. This page shows you where to look, what each piece means, and what happens when a trial ends, a payment fails, or you cancel.
Find the Subscription plan panel
- Open Store Config (in the left menu, or via your name in the upper-right corner → Settings). Viewing Store Config requires the Store Config module permission on your employee account.
- Stay on the Company Information tab (the first tab).
- Scroll below the Website field. Under a divider you will find the Subscription plan panel.
The panel shows:
- Plan name — the name of the plan your store is subscribed to.
- Subscription status — one or more colored status badges (see the table below).
- Billing — the note "Manage payment methods, invoices, and subscription changes in the billing portal," followed by an Update Billing Information button that opens the billing portal in a new browser tab.
- Entitlements — one row per add-on feature, with badges showing whether that feature is Active, Inactive, Locked, on Trial, or has a Trial available, plus a Start Trial button where a trial can be started.
What the status badges mean

Open the billing portal
The billing portal is where you manage payment methods, invoices, and subscription changes. There are three ways in:
- From Store Config — the Update Billing Information button in the Subscription plan panel.
- From anywhere in the app — click your name/avatar in the upper-right corner and choose Update Billing Information. The link opens the portal in a new tab.
- From the sign-in screen — when your store is trialing or has a billing problem, the sign-in screen shows an alert with an Update Billing Information button. Opening the portal this way asks you to sign in with your PHP Point Of Sale username and password.
The in-app links carry a secure sign-in token that is only issued to employees who have the Store Config permission. If your account does not have that permission, the link will not open the portal — ask an admin, or an admin can grant the permission under permissions and templates.
After you submit new billing details in the portal, a green confirmation notice appears at the top of the form.
During your free trial
While your store trial is running, the sign-in screen shows "Your trial is still going and ends on" followed by the end date, with an Update Billing Information button so you can activate billing at any time — activating early does not restart or shorten anything, it simply takes over when the trial ends.
When the trial ends without billing information, the store shows a page saying the trial has ended, with an Activate account's billing information button. If a payment fails
When a renewal payment fails, the sign-in screen shows a red alert saying your payment has failed, with an Update Billing Information button. You can still sign in and use the store — fix the payment method promptly so the subscription does not move to cancelled.
Cancel your subscription
- Open the billing portal using any of the paths above.
- Scroll to the bottom of the billing form and click Cancel Account.
- A confirmation notice at the top of the form states your subscription has been cancelled.
After cancellation there is a short grace period (3 days) during which sign-in still works and the sign-in screen shows "Your subscription … was cancelled. If this was in error please signup again" with a Re-Signup button. Once the grace period passes, the store shows the cancelled page instead of the sign-in form, and anyone still signed in is signed out.

Feature entitlements and in-app trials
Some features are plan entitlements rather than part of every plan:
- PrintNode — direct printing to receipt and label printers; see receipt printers, cash drawers and PrintNode.
- Label Designer — custom label layouts; see the Label Designer.
- PHPPOS Genie — the AI assistant; see Genie.
Each entitlement can offer its own free in-app trial:
- A banner on the Home dashboard or in Store Config says "You can start a X-day trial of …" with a Start trial button. Genie gets a larger banner headlined "Bring AI to your store with PHPPOS Genie." Banners can be dismissed with Hide.
- In Store Config → Subscription plan → Entitlements, rows with a Trial available badge show a Start Trial button.
- Only employees with the Store Config permission can start a trial; other employees see "Ask a user with Store Config access to start the trial."
- While a trial runs, the entitlement row shows a countdown ("X days left") and the end date, and banners offer an Upgrade Now button that opens the billing portal.
- A trial can be used once. When it ends, the feature locks again until your plan includes it — your data and settings stay put, so unlocking later picks up where you left off.
If someone opens a feature your plan does not include, the app shows "This feature is not included in your current plan" with a link to review plans and billing.
Locations change your bill
Licensing is per location. On the Locations list the app reminds you: "Adding another location requires another license," with a Purchase Additional Locations link. When you add a location, the form asks for your Purchase E-Mail — the email you purchased with — and checks it against the number of location licenses on your account. If you have not purchased enough, saving fails with "You have entered an invalid email or do not have the required licenses to add this location."
So the order of operations is: buy the additional location first (via Purchase Additional Locations), then create it under locations and registers.
Installed through the Shopify App Store?
If your store was installed from the Shopify App Store, billing runs through Shopify's own app billing instead of the billing portal:
- Activate it in Store Config → Shopify with the Activate billing button, which states the terms shown in-app (a 14-day trial, then $29 per month, billed by Shopify).
- Cancel it in the same tab with Cancel Shopify Billing (the app asks you to confirm).
- Charges appear on your Shopify invoice alongside your other Shopify apps.

Common questions
Where do I update my credit card? Click your name in the upper-right corner of the app and choose Update Billing Information, or use the same button in Store Config → Subscription plan. Both open the billing portal where you can change the payment method.
Why does the Update Billing Information link do nothing for me? The secure billing link is only generated for employees with the Store Config permission. Ask an admin to open it, or to grant you the permission.
How do I cancel my subscription? Open the billing portal and click Cancel Account at the bottom of the form. You will get a confirmation notice, sign-in keeps working for a 3-day grace period, and after that the store is closed to sign-ins.
I cancelled by mistake — can I get my store back? Yes. During the 3-day grace period the sign-in screen shows a Re-Signup button; after that, the cancelled page shows the same re-signup link. Re-signing up reactivates the same store.
My trial ended — is my data gone? No. The trial-ended page has an Activate account's billing information button; once billing is active you continue with everything you entered during the trial.
Why is a feature suddenly locked? Its in-app trial ended, or your plan changed. Check Store Config → Subscription plan → Entitlements: a Locked or Inactive badge means your current plan does not include it. Use Upgrade Now / the billing portal to add it — your settings for the feature are kept.
Why can't I add another location? Each location needs a license. Buy one via the Purchase Additional Locations link on the Locations page, then add the location using the purchase email on your account.
What do "Past due" and "Unpaid" mean? A renewal charge failed ("Past due"), and kept failing ("Unpaid"). Update the card in the billing portal; the status returns to Active once a charge succeeds.
