Deliveries and shipping

Attach a delivery to a sale (or create one standalone), set dates and a delivery employee, and move it through statuses that can email or text the customer. Calendar views, shipping rates, and ZIP-code zones keep dispatch organized.

Some sales don't end at the register — the furniture still has to reach the customer's house, or the package still has to ship. The Deliveries module gives each of those sales a delivery order you can schedule, track, and hand to the right employee. There are two ways to create one: as part of a sale (recommended — the delivery stays linked to the sale, its items, and its payments) or standalone from the Deliveries page for jobs with no sale attached. In-store pickups are handled by the same module.

Set up shipping and delivery options first

Open Store Config → Orders And Deliveries to configure the pieces a delivery order draws from:

  • Shipping Providers — click Add Shipping Provider to create each carrier or delivery method group (UPS, your own truck). Under each provider, click Add Rate and fill in the Rate Name, Rate Fee (the amount added to the sale), Tax Group (the tax applied to the fee — see setting up taxes), Delivery Time In Days (lead time used to quote dates), and Sort order.
  • Shipping Zones — click Add Shipping Zone to group ZIP codes; the zips field supports regular expressions (for example 144.* matches every ZIP starting with 144). Zones let the right rates apply based on where the customer lives.
  • Default Employee for Deliveries — the employee new delivery orders are assigned to automatically.
  • Delivery Color Based On — whether the delivery calendars color entries by Status or by Category.
  • Do NOT tax service items for deliveries — off by default; when on, service items on delivery sales aren't taxed.

Then create your statuses and categories (sections below) so dispatch can see everything at a glance.

Create a delivery during a sale

  1. On the sale screen, attach a customer to the sale — the Delivery button appears under the customer information; see ringing up a sale.
  2. Add the items (and any discounts), then click Delivery.
  3. On the Delivery Method tab, choose Delivery and fill in:
    • Delivery Employee — who is handling it, if one of your own employees delivers.
    • Tracking Number — the carrier's tracking number, if any.
    • Expected Processing — when you expect to finish preparing the order.
    • Expected Delivery — when you expect it to arrive.
    • Delivery Comment — free-text notes about the delivery.
    • Status and Category — pick from the statuses and categories you created.
    • Duration — how long the run is expected to take, in 15-minute increments from 30 minutes up to 40 hours.
    • Contact Preference — check Phone, Email, and/or Text to record how the customer wants to be reached.
  4. Open the Delivery Address tab. It autofills from the customer's profile; add anything missing.
  5. Open the Delivery Fees tab (all fields optional):
    • Delivery Fees — a flat amount added to the sale total.
    • Shipping Zone — pick the zone; the matching provider rates apply.
    • Tax Group — the tax group applied to the delivery fee.
  6. Click Save Delivery, then complete the sale. The delivery is finalized only when the sale completes — until then it doesn't appear on the Deliveries page.

Before completing the sale you can reopen the delivery with the Delivery button (it now shows a blue checkmark) to edit it, or click Cancel Delivery at the bottom of the panel to remove it from the sale.

Create an in-store pickup

In-store pickups can only be created inside a sale — the standalone form always saves regular deliveries.

  1. Attach a customer, add the items, and click Delivery on the sale screen.
  2. On the Delivery Method tab choose In-Store Pickup.
  3. Fill in any of: Expected Pick-Up (date and time), Delivery Comment, Status, Category, and Duration. None are required.
  4. Click Save Delivery and complete the sale.

Pickups appear on the Deliveries page alongside deliveries and are updated, edited, and deleted the same way. The Is In-Store Pickup flag on the order can't be changed afterwards.

Create a standalone delivery

For a delivery with no sale behind it:

  1. Open Deliveries in the left menu and click + New Delivery.
  2. Fill in the Delivery Information form — fields in red are required:
    • Delivery Employee, Status, Category, Duration — as above.
    • Location — defaults to the store location you're signed in to; change it to file the delivery under another location.
    • Name, contact information, and address — the customer the delivery is for.
    • Tracking Number and Comments.
    • Is In-Store Pickup, Shipping Provider, Shipping Method — these can only be set by deliveries created through a sale; on a standalone order they stay fixed.
    • Estimated Shipping Date, Actual Shipping Date, Estimated Delivery/Pickup Date, Actual Delivery/Pickup Date — the four date fields that drive the calendars.
    • Add Files — attach up to five files of any type (a signed slip, a photo of the drop-off spot).
    • Item entry — type an item name or scan a barcode to attach the items being delivered, so the driver and the paperwork know what goes out. Remove an item with the x; click a quantity to edit it.
  3. Click Save.

Track each order's status

Delivery statuses are updated manually — by editing the order, or by selecting rows in the queue and using the status change control. Four statuses ship by default: Not Scheduled, Scheduled, Shipped, and Delivered, each with its own color. Add your own for steps unique to your operation:

  1. Open Deliveries, click the ellipsis (...) in the top right, and choose Manage Statuses (requires the Manage Statuses permission).
  2. Click Add Status and fill in:
    • Name — what shows in delivery dropdowns and the queue.
    • Description — for your reference; when set, it's also used as the notification text if no email template exists for the status.
    • Notify Customer Via Email — when checked, moving a delivery to this status emails the customer automatically.
    • Notify Customer Via SMS — when checked, the customer is texted; requires the Twilio integration — see email and SMS notifications.
    • Color — how the status displays, and how the calendar colors deliveries when Delivery Color Based On is set to Status.
  3. Click Save. Edit updates a status everywhere it's used; Delete removes it permanently from every delivery that had it and cannot be undone.

Customize the notification emails

The email sent on a status change is fully customizable, and templates apply to all locations:

  1. Open Deliveries, click the ellipsis (...), and choose Manage Email Template.
  2. Pick the Status the message is for. Choosing Default edits the fallback message that sends for any notifying status without its own template.
  3. Type the message. Insert the provided shortcodes where customer-specific values belong — each is replaced with the order's real value at send time: %company_name%, %sale_id%, %tracking_number%, %ecommerce_id% (the online order number for ecommerce sales), %delivery_id%, %delivery_status%, %estimated_shipping_date%, %actual_shipping_date%, %estimated_delivery_or_pickup_date%, %actual_delivery_or_pickup_date%.
  4. Click Preview to see the rendered message, then Save.

Be careful with shortcodes for tracking numbers and dates: those fields are filled in manually, and if a delivery doesn't have them the email renders with blanks. Without any default message set, a notifying status with no template falls back to the built-in text "Company would like to inform you that your delivery sale ID status has changed to: status."

Group orders with categories

Delivery categories group orders however you dispatch — by route, by truck, by service type:

  1. Open Deliveries, click the ellipsis (...), and choose Manage Categories (requires the Manage Categories permission).
  2. Click the add option, enter a Category Name, click the Category Color field to pick a color, and click Save.
  3. Edit renames or recolors a category for every delivery in it; Delete removes it permanently from all deliveries and cannot be undone. Click Done to return.

When Store Config → Orders And Deliveries → Delivery Color Based On is set to Category, the calendars use the category color for each delivery.

Find and filter orders in the queue

The Deliveries page lists every order. Click the funnel icon near the top right to filter by Status, Category, In-Store Pickup, shipping date range, delivery date range, Location, and Deliveries With/Without Sales. Column configuration in the ellipsis (...) menu controls which columns display, including Contact Preference.

To edit an order, click Edit next to it. Everything can be changed except the Shipping Provider, Shipping Method, and the Is In-Store Pickup flag — those belong to the sale, so to change them (or zones and fees) open the sale itself, click the Delivery button, edit, and click Save Delivery. Editing the sale is the only way to change fees; editing in the Deliveries module is the fast path for status and category updates and the only way to update standalone deliveries.

Work from the calendars

Click Calendars in the top right of the Deliveries page and pick one of four views, each keyed to a different date field:

  • Estimated Delivery/Pickup — orders on their estimated delivery or pickup date.
  • Actual Shipping Date — orders on the date they actually shipped.
  • Actual Delivery/Pickup Date — orders on the date they actually arrived or were picked up.
  • Sale Date — every delivery on its original sale date.

Buttons in the top right switch between month, week, day, and a list view of the current day; the arrows in the top left move through time. Entries are colored by status or category per your Delivery Color Based On setting. Click a delivery to open a popup with two tabs — Delivery Information and Delivery Items — and edit it in place.

From a calendar you can also click Print to print the calendar view itself (or save it as a PDF), print the day's receipts, or open the day's fulfillment sheets — the picking documents your warehouse or driver works from.

Delete and recover deliveries

Three ways to remove a delivery, with different recovery behavior:

  • From the queue — select the order on the Deliveries page and click Delete above the list. These can be recovered: click the ellipsis (...), choose Manage Deleted Deliveries, select the rows, and click Undelete.
  • Cancel it in the sale — edit the sale, click Delivery, and choose Cancel Delivery. This removes the delivery and it cannot be undeleted.
  • Delete the sale — deleting a sale deletes its delivery, also unrecoverable. See returns, exchanges, and trade-ins for how sales are edited and removed.

Reports, permissions, and interactions

  • ReportsReports → Deliveries → Detailed Reports lists every delivery sale with its status, delivery employee, customer, location, totals, and profit; it's visible to employees with the reports permission View Deliveries. See running reports.
  • Permissions — the Deliveries module permission shows or hides the module, and six actions gate the work inside it: Search Deliveries opens the queue itself (the listing, search, sort and filters — without it the Deliveries page won't load); Add Deliveries shows the + New Delivery button on the queue and calendars; Edit Deliveries opens and saves the delivery form (so creating one in practice needs it too) and powers the queue's Change Status control and calendar-popup edits; Delete Deliveries covers the Delete action plus Manage Deleted Deliveries and Undelete; Manage Categories and Manage Statuses unlock their ellipsis-menu pages.   • Ecommerce — orders imported from your online store can carry their online order number into delivery emails through the %ecommerce_id% shortcode; see how ecommerce sync works.
  • Taxes — the delivery fee is taxed by the tax group you pick on the Delivery Fees tab. Example: a $50 sale with a $10 delivery fee and a 10% tax group totals $66.

Common questions

Why doesn't my delivery show on the Deliveries page? The sale was never completed. A delivery created in a sale is finalized only when the sale completes — reopen the suspended sale and finish it.

Why can't I change the shipping provider on a delivery? Provider, method, and the pickup flag belong to the sale. Edit the sale, click Delivery, change them there, and save the delivery.

Why did my customer get an email with blank dates in it? The email template uses date or tracking shortcodes and the order's fields were never filled in. Enter the estimated dates and tracking number on the order, or remove those shortcodes from the template.

How do I get "your order has shipped" to send automatically? Edit the Shipped status (ellipsis → Manage Statuses) and check Notify Customer Via Email. Optionally write a template for that status under Manage Email Template. Then just set deliveries to Shipped as they go out.

Can the calendar show my routes in different colors? Yes — create a category per route, assign it to each delivery, and set Delivery Color Based On to Category in Store Config → Orders And Deliveries.

Can I recover a delivery I cancelled from the sale? No. Only deliveries deleted from the Deliveries queue can be undeleted through Manage Deleted Deliveries; cancelling the delivery in a sale or deleting the sale removes it permanently.

How do I charge for delivery? Enter a flat amount in Delivery Fees on the sale's delivery panel, or set up provider rates (fee, tax group, lead time) and shipping zones in Store Config → Orders And Deliveries so the charge is applied consistently.

Do standalone deliveries affect my sales numbers? No — a standalone delivery has no sale attached, so nothing is billed and no inventory moves. Its items are for dispatch paperwork only. Use the Deliveries With/Without Sales filter to tell the two kinds apart.
