Inventory Count Question

Hi,

We are trying to do a total inventory count but we have over 20k items.  I dont want to have to do a count of all at one time. It would take several days. We have everything broken up into categories.  If I do a count on one category of items (example maybe 100 items) if I process it to make changes will it set all uncounted items (the other 19k+ not yet counted)  to 0?  I am terrified to click the button :-O

Also, is there a way to see what items in that category didn't get counted so we can look for loss/theft?

    You can click "items not counted" button when inside the count and there is a filter for category on that page.

    I have a slightly different question about counts.  We need to do our total inventory in stages, too. The way I understand it, if we think we have an entire category counted, and later come across a "stray" and count it, it would replace whatever value had previously been counted.  Is there any way to have that item added to the previous count rather than replace the previous count, e.g., "lock" each count in a way that further entries are added rather than overwrite?

    I don't imagine this would happen often, but we have various items scattered all through the store..  I can just imagine someone scanning their way through a section and not even consider that something could be from a previously counted category.

    One other thing - it would be nice to be able to add a Name or Description to each count.

    I am running into a similar issue with inventory counts. I have too many items to count at one time, so I want to break it up into several parts. I understand how I can use the Category filter in the uncounted items list, but I would rather break up my inventory by manufacturer rather than category. So I would like to have a filter for manufacturer rather than category. Is it possible to add that?

    I'm also running into a problem with the category filter. When I select a category from the filter pulldown, then advance to the next page in the list, it removes the category filter when it displays the new page. As a result, it shows all the items again rather than filtering by the category that I had selected. I'm not sure if this is a tiny bug in the code or if it's specific to my installation, but it makes the category filter nonfunctional.

    An even better solution for me would be to allow me to specify which items I want to include in the inventory count (a category, a manufacturer, a supplier, or even an item number wildcard) when I start it. That way I can do my inventory count in manageable pieces. The way it is set up now, the machine churns for several minutes when I try to create a new inventory count, because it has to go through all 10,000 items.

    Doing an inventory count, the buttons leave a little ambiguity in their meaning. For instance, “close/finish count and update inventory” does this only update the items I counted or does it also update the counts on the items I didn’t count to 0. Is there a way to only change the counts on items I count, finalize that count then start an additional count.

    “Close/Finish count and don’t update inventory” I assume this one saves count data but does not actually update the counts on the items to the counted value. Or maybe it doesn’t update the count of the uncounted items to 0, I’ve been looking for a definition of these buttons in the documentation but so far I’ve come up empty.

    Also a report of items on hand that were never counted, this would indicate items that were not included in multiple counts maybe grouped by a date range.

    Hey Mike, I thought I'd answer since I ran into this just recently.  The "close/finish count and update inventory" is, as far as I know, the only way to register the count you've just done.

    HOWEVER, the rest of that first question is critical.  When you look at the actual count, you'll see the gold tabs in the upper right for "Items not Counted" and "Items not Counted and In Stock".  As far as I see, these are crucial in that they're the only way to tell whether you might've missed something with your count - especially with the "Items not counted & in stock" option.  The most important thing I found in using it (I found out after much head-banging), is to use it BEFORE you close/finish the count!  If you do it AFTER, you'll see all the same changes register within that function as if you had done it before, but when you go back into Inventory/Items, you'll find that it has changed nothing.  Only the items in the count itself will have changed.  

    One other important thing to know is that when you use "Items not counted and in stock", you'll likely be overwhelmed with the number of items that show up initially.  I'm sure many of us count just a part of our inventory at a time - and when you're in "items not counted and in stock", you can filter into just the category you're doing the count on.  I've found that to be invaluable in double-checking the accuracy of my count.  Once you get there, I think you'll find it to be relatively intuitive.

    As far as "Items not counted", I've found limited use for that - if some of the items you haven't counted turn out to have stock in the system, they'll show up on the "items not counted and in stock". 

    Finally, I have no idea what one might use the "close/finish and DON"T update inventory" for.  Well, maybe at year end when you find you have way more inventory than you thought, and don't want to acknowledge it.  I don't know.

    Anyway, it's taken  me a while to be able to use the inventory function efficiently, but I have to say it's near miraculous.  With a decent barcode scanner with bluetooth to my phone, I can whip through a few hundred items - along with the final review with "items not counted..."  - in no time at all.  It does take a good scanner, though, and you want to keep your labels updated so your scan flow isn't interrupted, and use the "items not counted..." function properly.  With that, though, it's easier than you would've ever imagined.
